Event Rental Agreements
Reservations
Total balance is due if =< $1000 or event is within 30 days at time of contract signing. Otherwise, a (50%) fifty percent deposit of the contract rate is required to hold the date for your event. The remaining balance is due no less than 30 days prior to the event. All payments must be made by the specified due dates or all deposits will be forfeited and event deemed cancelled.
Postponements and Date Changes:
All changes must be made in writing no less than 14 days prior to event. Subject to availability will need to be confirmed before rescheduling.
Cancellations
A written notice of cancellation is required. Cancellations made by the Client will result in NO REFUND of any payments made prior to the cancellation.
Damage Deposit Agreement
The damage fee will be applied against any cost to repair or replace damage and/or loss occurring caused by you and your guests. Patio On The Hill management will conduct an inspection before and after the event to determine any damage. Any damage will be reviewed by a licensed contractor and an estimate will be provided in writing to the client. Client agrees to pay estimate cost for damage within (10) days of receipt. Client will not be held responsible for any overage of estimate or quality of work by licensed contractor.
General Conditions
Parking is not allowed in the circle drive by the front door. Drop off at the front door is allowed, then please move all vehicles to parking lot after unloading. It is your responsibility to tell your vendors and guests. For any cars parked in the circle, a warning will be given once and then the vehicle(s) will be towed, at owner s expense. Smoking is only permitted outside of the facility in the designated area. ** If guest count exceeds 150 guests an additional fee may be added for additional chair/table rental and services. All caterers will provide own serving people and cleanup of their own supplies and spills. All leftover food, decorations and personal items must be removed immediately following the event. Only approved fasteners may be used to hang signs or other material in the facility. No nails, fishing line, command strips are preferred fasteners. No confetti, rice, birdseed, silly string, shoe polish or shaving cream may be used. No Fireworks of any kind. No Firearms. Sparklers and Bubbles can be used outside. Your event time is determined by the contracted scheduled time and not when you or your party arrives. Scheduled times must be followed. All deliveries and set up shall be done within your specified time. Please inform all caterers, vendors, wedding staff, etc. of the scheduled time to arrive. Cleaning Responsibility of the Party: All other cleaning services will be provided by Patio On The Hill Staff. Your responsibility will be to remove all personal decorations and items from the premises. Children are always welcome at Patio On The Hill, however, they must be supervised at all times and not allowed to run around unattended. Patio On The Hill shall not be held liable for any loss, stolen, missing or damaged personal property. Client agrees to indemnify and hold Patio On The Hill harmless from any and all claims arising from lost, stolen missing or damaged personal property. Client agrees to release, indemnify and hold Patio On The Hill harmless, including any attorney fees and costs incurred, from any and all claims, demands, suits or judgments from use of the building or outdoor facilities including, but not limited to, any damages incurred, injury or even death. Guests of the Client’s event party should know and understand some outdoor areas and walkways contain inconsistent natural materials. Outdoor areas consist of driveway, grassy areas, wood decks, steps, areas with loose gravel, landscaping and area around pond. Patio On The Hill shall not be held responsible for inclement weather, any power failures, any equipment failure, any electrical equipment failure, which may occur prior to or during any event. We reserve the right to make changes to any policy or procedure at any time. We reserve the right to refuse service to anyone. Patio On The Hill will be responsible for obtaining a signed copy of this contract agreement prior to rental. I have read Patio On The Hill’s policy agreement above. I understand and agree to abide by all conditions, guidelines and timeframes.
Alcohol Agreements
Event Policies
Guests are not permitted to bring or serve their own alcohol. All alcohol will be purchased by Patio On The Hill and under the supervision of the bartender and served only by a bartender. Any alcohol brought in by guests will be removed and returned to them after the event. The bar will not open and bartenders will not serve any alcohol until agreed start time. Bartenders will arrive one to two hours prior to serving time to set up- because bartenders are present setting up the bar does NOT mean the bar is open. Please make family, wedding party, and guests aware of this rule. Underaged guests will not be served. All guests are required to present proper identification to show proof of age. Please make family, wedding party, and guests aware of this rule so they may be prepared to carry proper identification Bartenders have the right to refuse service to anyone without reason or incident. This is to maintain each bartender’s safety and integrity. Specific instructions regarding alcohol and toasts are required to be disclosed. All bottles/cans of any alcohol provided will be served by bartenders only. Such notes should be stated below and made clear to bartenders before signing.
Event Security Agreement
Patio On The Hill strives to not only provide a unique venue, but to create a festive and memorable event. With providing alcohol when hosting our events, we encourage everyone to indulge and have a great time, but we also want to keep the peace during the event and make sure our customers depart our facility safely. That is why we have partnered with the Wagoner County Sheriff’s department. Each alcohol package requires hiring one (1) off duty police officer at minimum. This is mandatory and NOT negotiable. Pricing for security is included in cash bar pricing.
Bar Package Agreement
Package includes all alcohol provided by Patio On The Hill and one licensed bartender. Hours of service can be chosen below. Bartenders will be chosen and provided by Patio On The Hill. Tokens will be purchased at host’s station and redeemed at the bar in exchange for drinks. One token will be good for one drink. All Event Policies will be enforced. Cash, credit card or Apple/Android Pay accepted. Patio On The Hill will purchase back ANY remaining tokens. Bar will be closed 1 hour before event ends. Last Call will be announced 15 minutes prior to bar closing, allowing for 15 minutes to purchase drinks. Once Last Call has ended, bartenders will close and tear down the bar station. Guests will then have the remaining event hour to finish their drinks. Client is liable for any and all alcohol-related injuries or accidents during or following the event. Patio On The Hill is cautious and observant when serving alcohol to guests to insure a fun and safe environment. Patio On The Hill bartending is not responsible for any individual who may become intoxicated or for any damages that may be caused by an intoxicated guest.
Wedding Rental Agreements
Reservations
A (25%) twenty five percent deposit of the contract rate is required to hold the date for your event. The second and third payments will be scheduled evenly between the contract signing and 60 days prior to the event. The remaining balance is due no less than 60 days prior to the event. All payments must be made by the specified due dates or all deposits will be forfeited, and event deemed cancelled.

Your responsibility will be to remove all personal decorations and items from the premises. Rehearsal Agreement
A one-hour rehearsal is included with the Party Packages purchase. We reserve rehearsal time the Thursday evening before your event. Below is the schedule for rehearsals: Friday weddings 5:30pm – 6:30pm Saturday weddings 6:30pm – 7:30pm Sunday weddings 7:30pm – 8:30pm Be advised: Designated rehearsal times must be strictly followed, as we schedule multiple rehearsals in the evening back to back. Please inform all of your wedding party. The designated end time will NOT be adjusted if your rehearsal begins late. Patio On The Hill shall not be held liable for any loss, stolen, missing or damaged personal property.
